The Analysis
This was a new client for us, as well as our first large-scale (over 1000 attendees) event. The Siebel Sales Summit 2000 was staged in early January at the San Francisco Hilton and Towers. Moonfish had two months of lead-time (November and December 1999—all those holidays!). The challenges were fierce.
Siebel is a high-tech, silicon valley software company. We worked with Siebel’s IT department very closely. They ended up pre- and re- wiring the Hilton to accommodate their need for local servers to support their General Session Events and all the Breakouts. We worked with their Sales Department, as well, to coordinate all the elements for the production.
The Sales Trainers wanted to demo their products on hard-wired, as well as wireless platforms. Telecommunications components included coordination of live telephone, computer and web demos, use of local and remote servers, coordination of ISDN, T-1 and phone lines, wiring of the entire Hilton property, and the accurate implementation of their “script.” Add to that, the need for flawless execution of specific lighting, audio, staging, technical switching, talent, graphics and video – and that was just for the one KEY presentation. We all needed to be working in synch. The half dozen trainers and the 40 or so crew members were going to make it all look easy.
Overall General Session Elements included Custom Stage Design and Development; Lighting Design, Rigging and Implementation; Full Audio Support for Walk-in Music, Play-on Stingers, Speaker Support, Video Roll-ins, and Demos; Graphic Design and On-site implementation of Speaker Support Slides and Visuals; Full Video Coverage of the event including daily shooting and editing for a final “Candids/Recap” show, and daily roll-ins of prior day’s events & messaging. As often happens, a few last-minute video programs were developed and edited on site. There were multiple changes with speaker support graphics, and many instances of updates and complete re-writes. We had responsibility for management of all Union and Non-Union Crews and Personnel, Security Procurement, Speaker and Technical Rehearsal, and Full Event Production Oversight, Coordination and Administration.
Because of scheduling difficulty, we had less than one day on site to rehearse the highly-technical “multi-channel demo.” The remainder of the presentations were rehearsed on a day-by-day basis.
The Outcome
Flawless Implementation. Through experience, we’ve found that a successful production is no more than the sum of its parts. We were able to break this production down to it’s individual parts, and conquer it one piece at a time. We were able to gather high-end equipment, and bring together and coordinate a great team who really made this show a raging success. So much so, that we were able to produce Siebel’s Partner Summit three months later, their upcoming 100% Club and subsequent Sales and Partner Summits.
