Barr Pharmaceuticals Annual Stockholders' Meeting 2001 – St. Regis Hotel, NYC

The Analysis

This was a new client for Moonfish Production, so we were eager to jump into this event full force.

Because this was a Stockholders' Meeting, there was a large number of Presenters, Board Members and Auditors who would be present, and who would need to be seen and heard.

The staging of this event was the first challenge. We could have simply used pipe and drape and a row of chairs for the board members, and be done with it. This client, though, was looking for more, and was open to suggestion…but didn’t have a huge budget.

There were multiple physical limitations to this venue. The Versailles Room is long and narrow, with low-hanging chandeliers. Add to that, because of time constraints, we began load-in at 1am, so that we could do rehearsal at 7am, and start the meeting at 9am SHARP. The physical load-in was also challenging – load in off the street, take an elevator DOWN, push all the equipment across the hotel, take an elevator UP, then, push equipment back across the hotel. All this movement had to be taken into consideration, and planned on, so that we were not behind schedule.

We solicited the help of a set company to create simple, custom, cost-effective, easily-transportable flats, and used lighting to create depth and contrast. The Barr Logo hung on the set, and was prominently set on the podium. This gave a clean, corporate, BRANDED look to their meeting.

We put the Board Members on a tiered stage, put the speaker in the center, and the 5 x 7 foot screen to the right. The Auditors were off to the side of the screen. Everyone was cozy, but it worked, and it looked GREAT.

Because we were doing a webcast, the set, and the presenters needed to be lit for video, as well as for the event (video requires more light, but you want to maintain a soft “look” for your event – it is a delicate balance). Audio was crucial, so we double-miked the CEO. We provided 2 switched cameras, to eliminate pans and zooms (which are undesirable on webcasts), walk-in music, speaker slide support and video playback. We orchestrated a team of pros who delivered flawlessly (despite their lack of sleep!)

We also supplied Audio and Staging support for an additional Board Meeting which occurred 15 minutes before the Stockholder’s Meeting, as well as overseeing the Hotel AV staff, who provided Overhead and Data Projectors and Audio Support for Breakouts.

 

The Outcome

The client was so pleased at the end of this meeting that she asked us, on the spot, to produce their December Analyst’s meeting at that same hotel.
